Group Accountant – Role Description (Pharma Distribution)
Position
Group Accountant
Reporting To
Managing Director / Finance Head
Purpose of the Role
The Group Accountant is responsible for overseeing the financial operations of all branches, ensuring accurate accounting, statutory compliance, inventory reconciliation, financial reporting, and standardized financial processes across the organization. The role is critical in maintaining financial discipline, profitability, and operational efficiency in a multi-branch pharmaceutical distribution business.
Key Responsibilities
1. Financial Accounting
* Maintain accurate books of accounts for all branches.
* Consolidate branch financial statements.
* Review daily accounting entries and ensure accuracy.
* Prepare monthly Profit & Loss Account and Balance Sheet.
* Monitor cash flow and working capital requirements.
2. Branch Audit & Verification
* Visit all branches periodically.
* Verify physical stock with system stock.
* Identify inventory discrepancies and investigate causes.
* Verify cash balances and bank reconciliation.
* Review petty cash utilization.
3. Inventory Control
* Monitor stock movement across branches.
* Identify slow-moving, non-moving, and dead stock.
* Track short-expiry products and coordinate liquidation.
* Review inventory ageing reports.
* Ensure proper handling of cold-chain medicines.
* Verify batch-wise inventory accuracy.
4. Accounts Receivable Management
* Monitor outstanding collections.
* Review customer ageing reports.
* Coordinate with branch managers for overdue recovery.
* Monitor credit limits and credit policy compliance.
* Follow up on debit notes and credit notes.
5. Accounts Payable Management
* Verify supplier invoices.
* Ensure timely payments to principals and vendors.
* Monitor outstanding payables.
* Reconcile supplier statements regularly.
6. GST & Statutory Compliance
* Review GST input and output reconciliation.
* Ensure timely GST return filing.
* Monitor TDS deductions and filing.
* Support statutory audits and tax audits.
* Ensure compliance with applicable financial regulations.
7. Financial Reporting & MIS
Prepare and submit:
* Daily cash report
* Daily sales report
* Monthly financial statements
* Branch-wise profitability report
* Product-wise gross margin report
* Inventory ageing report
* Outstanding receivables report
* Outstanding payables report
* Expense analysis
* Budget vs Actual analysis
8. Internal Controls
* Implement uniform accounting procedures across branches.
* Verify approval of expenses.
* Prevent fraud and financial irregularities.
* Strengthen financial control systems.
* Recommend process improvements.
9. Coordination
Coordinate with:
* Branch Managers
* Warehouse Managers
* Sales Team
* Purchase Department
* External Auditors
* Company Auditors
* Banks
* Vendors
* Statutory Authorities
10. ERP & System Management
* Ensure timely accounting entries in ERP.
* Verify master data accuracy.
* Monitor inventory transactions.
* Improve reporting accuracy.
* Support ERP implementation and enhancements.
Key Performance Indicators (KPIs)
* Monthly accounts closed on time.
* Stock variance below 0.25%.
* GST and TDS filings completed within deadlines.
* Bank reconciliation completed monthly.
* Reduction in outstanding receivables.
* Reduction in inventory ageing.
* Dead stock liquidation targets achieved.
* Audit observations minimized.
* Financial reports submitted on schedule.
* Branch compliance score above 95%.
